  • Role Involves
  • Gallery representative: Greet VIPS and hand over to Directors. Introductory talks to casual visitors and student groups
  • Oversee immaculate presentation of both gallery and office spaces
  • Manage incoming telephone calls and voicemail
  • Maintain supplies of press releases, checklists, press books and catalogues
  • Gallery Administration
  • Take and distribute staff meeting minutes
  • Maintain catalogue archive with Artist Department
  • Respond to catalogue sales enquiries
  • Assist with website updates (images and news items)
  • Update shared calendar: public holidays, art fairs, Venice Biennale, Jewish holidays, exhibition PV dates
  • Oversee intern updating listings for gallery exhibitions/ projects

Gallery General

  • First point of contact for gallery suppliers
  • Arrange couriers and Fed Ex
  • Send outgoing and distribute incoming post (and manage gallery mailouts e.g. new catalogues)
  • Order all gallery supplies; office, kitchen and cleaning supplies
  • Manage the window cleaner, cleaning operatives and gardener
  • Manage Interns
  • Manage staff birthday cards, presents and presentations
  • Manage printers

Art Fairs

  • Coordinate Art Fair flight case export/ import with registrar team and Sales
  • Coordinate stock for art fair flight cases, liaising with Sales and Artist Department Coordinator
  • Manage artwork labels, liaising with Sales and registrars

Exhibitions and Events

  • Assist Gallery Manager with private view dinner preparation: print maps, order taxis, coordinate dinner name cards
  • Create client image sheets for relevant events
  • Manage artist led events E.g. Artist talks
  • Coordinate supplies for private views and events; drinks, glassware, furniture hire, filming equipment
  • Coordinate visitor resources: press releases, checklists, press books and catalogues
  • Organise and manage invigilators as required


  • Auction administration: put auction dates in the calendar; chase missing or lost catalogues before auction; ensure catalogues are marked up and archived following the sale.
